How Slippie works

A short guide for firm staff.

Slippie helps an accounting firm request client documents, remind people who have not sent them, and file what comes back — from WhatsApp or a phone-friendly upload link.

This guide is for firm staff. Your clients do not log in to Slippie. They reply on WhatsApp or open a link you send them.

Your firm workspace

Create an account with Sign up, or Log in if you already have one. New accounts confirm their email before they can use the workspace. If you cannot sign in, use Forgot password? on the firm login page (/app/login).

Each firm has its own workspace. After login you work in that firm: clients, templates, requests, and files stay in that firm.

Optional two-factor authentication is under your name → My Profile. It is not required.

Clients

Open Clients and add the people or companies you collect from.

For a person, record first name and last name. For a company, record the company name and the contact’s first and last name.

Also record:

  • A WhatsApp number (South African numbers can start with 0 or +27)
  • WhatsApp consent. Send via WhatsApp only works when the client is Opted in. Add a short note of how you got that consent (for example an engagement letter)

Email and tags are optional.

The same WhatsApp number can belong to more than one client — for example a person who is the contact for two companies. If they reply on WhatsApp, Slippie files the document against the client that has an open request. If none or more than one of those clients has an open request, the file is not filed automatically. If a client replies STOP, Slippie stops further outbound messages to that number on every matching client.

Checklist templates

Open Checklist templates to describe a pack you collect often — for example a monthly VAT pack.

Each template has named items (bank statement, invoices, slips). When you create a document request from a template, those items become the checklist for that client.

Document requests

Open Document requests and create a request for one client.

You can pick a checklist template, or leave the template empty and list the documents on the request. Label is what the client sees (for example Bank statement). Document type is a short key (for example bank_statement). Period is optional (for example March 2026). A request needs at least one document either way.

Add Notes for anything the client should see — for example an invoice number. Those notes go on the WhatsApp message and the portal page.

Set a Due date if the pack should land before the default 30 days. The due date is shown on WhatsApp, and the portal link stops working after that day.

A request is the job: which client, which documents, and whether they are still outstanding. Open a request to see progress, the activity log, and actions to send or share.

Monthly packs

For a pack you collect every calendar month, open the client and assign a checklist template under Monthly packs. Set First period to the calendar month of the first draft.

Slippie opens a draft only when that month has started and the previous request for that pack is closed. Closing September in September does not open October until October. It does not send WhatsApp on its own — open the draft and Send via WhatsApp as usual. Reminders still follow that open request (day 3, 7, and 10). They do not open next month.

Pause an assignment if the client should skip months. One-off requests on Document requests are unchanged.

Sending a request

You can use one or both:

WhatsApp. The client must be Opted in. Open a request to see the WhatsApp preview of the message they will get (notes, due date, checklist, and portal link). Send via WhatsApp shows that same preview again before you confirm. You do not paste messaging credentials.

A new firm does not have WhatsApp until a South African paid plan is in place, or Slippie has switched sending on for you. Until then, use the portal link. Paid South African firms share Slippie’s number. A custom sender can be arranged separately (see Pricing).

Portal link. Copy the Portal upload link from the request and send it by email or any other channel. The link is /p/…, works on a phone, and does not need a client login. It expires and only belongs to that request. The portal is available even when WhatsApp is not.

What the client does

  • On WhatsApp they can send a photo or PDF in the chat, or reply with a question.
  • On the portal they upload a PDF, photo, or a common office file (Word or Excel) without creating an account. The original filename is kept.

If they reply with a question instead of a file, Slippie does not file anything. The request is flagged on Outstanding Items (Attention), the message is shown on the request, and staff are emailed. Open the request to read it and follow up. This help page is for staff, not for clients.

Filing and the classification queue

Files from WhatsApp and the portal go through the same pipeline.

  • If only one checklist item is still outstanding, Slippie files the document against that item.
  • If several items are outstanding, the file waits in Classification queue. Use Classify and pick the correct checklist item so it is named and stored against the client. Reprocess is available if a file needs to run through the pipeline again.

Filed documents stay in Slippie. You can download them from the request.

Reminders and outstanding work

Slippie reminds clients who have not finished a request. The default cadence is day 3, 7, and 10. Reminders are not sent late at night (default quiet hours 20:00–07:00 in your firm timezone).

Reminders stop for an item when it is received, and stop for the whole request when it is complete.

Use Outstanding Items for the list of open work, including requests that need attention after a client WhatsApp question. From Outstanding Items or the request you can Send reminder and Escalate (including a flag for a follow-up call). Activity log shows sends, uploads, replies, and status changes.

Optional: file copies (Google Drive, OneDrive, or Dropbox)

Google Drive, Microsoft OneDrive, and Dropbox are copy destinations. Slippie remains the place documents are stored.

Google Drive requires a Google Workspace account. Personal Google accounts (including @gmail.com My Drive) are not supported. On File copies, create a Google Drive connection. Share a Workspace Shared Drive (or a folder inside one) with the Slippie service account address shown on that form (Content manager), then paste the folder ID from the Drive URL. Do not paste a Google Cloud JSON key.

Microsoft OneDrive works with Microsoft 365 and with a personal Microsoft account. Create a Microsoft OneDrive connection, save it, then Connect Microsoft and sign in as the firm. You can paste a folder ID, or leave it blank to use that account’s OneDrive root. Newly filed documents are copied there after connect.

Dropbox works with a personal Dropbox account and with Dropbox Business. Create a Dropbox connection, save it, then Connect Dropbox and sign in as the firm. Newly filed documents copy into that account’s Slippie app folder (/Apps/Slippie/{client}/{request}). You do not paste a folder ID. Dropbox Business copies land in the connecting member’s Slippie folder, not the team space. A team admin may need to approve the app.

Do not connect a taxpayer’s Drive, OneDrive, or Dropbox.

Billing

Plans are priced per firm by how many clients you actively request from, with unlimited staff users. South Africa pays in rand on PayFast; the UK pays in pounds on PayPal. Other countries use US dollars (Creem) when Subscribe is shown on Pricing. Open Billing in the app to see your subscription and this month’s usage.

Plan usage. Billing shows this calendar month’s utility WhatsApp messages and active clients against your plan. An active client is one you sent a document request to this month. Extra utility messages beyond the included allowance are invoiced separately (R0.50 or $0.03); sending is not blocked. Extra active clients are a prompt to upgrade, not a per-client charge.

Getting help

Signed-in staff can open a support ticket from Help in the firm workspace (Open a support ticket), then follow the conversation on Support. Only you can see tickets you opened.
